Hello!
Before the tour, we offer water, coffee, tea, hot chocolate. We have a water station and a Flavia coffee/tea station in our Tour Center.
-After the tour (we do an optional post-tour Q&A), we provide water, vitamin water, juice, and assorted snacks in small packages such as goldfish crackers, chips, popcorn, raisins, cookies, granola bars.
- We have a specific budget for refreshments. It's about 8% of our entire events catering budget.
- We order from Peapod and have supplies delivered whenever we run low. Our school doesn't have a dining services department.
- Our student tour guides are in charge of refreshing supplies, keeping track of snack inventory and and keeping snack areas clean. The Campus Visit Coordinator places the order with Peapod and makes sure the tour guides fulfill their snack responsibilities.
- Our biggest issue is with people making a mess and getting popcorn all over the place! There are also a lot of beverage spills, but nothing too bad. Our tours are pretty long so people appreciate the snacks, but don't seem to take too much. We only provide snacks for general campus tours, not group tours. The only other issue is making sure our staff understand that these snacks are not for them!

I hope you all are having a smooth spring break season! The following questions are for those of you who provide refreshments in your visitor center or waiting areas:
n What refreshments do you provide (i.e cookies, coffee, tea, hot chocolate, water, etc.)?
n Do you have a specific budget for refreshments (if so, any details you are willing to share would be appreciated) or is it just a part of the general admission budget?
n Do you go to a big box store to get your food/supplies or is it provided by your school’s dining services department?
n Who’s responsibility is it within your office to refresh/clean the charging station area each day?
n Do you have any issues with guests taking too much of certain items or do you just budget for it?
