Hey Carrie,
I send out meeting requests in Outlook and it has been super helpful. In the meeting request I put who the group is, their contact person, phone number, email (this is great especially if they are running late and I need to find out where they are), how many students, grade level and if they are interested in a specific program. This is also helpful for me as I am a one woman show because it reminds others involved of when they should be there and it keeps me from micromanaging the visit. My ambassadors also receive the same information in their campus visit request I sent via outlook.
I also use this for personal visits as well. That way whoever is meeting with them knows as much information about the student or group to prepare for the meeting.

Hello Everyone!
I am a new CIVSA member and am really enjoying reading the emails from the list serve-so thanks in advance!
I have a question regarding group tours (high school groups, church groups, etc). I am primarily responsible for booking the groups and scheduling guides, but I rely on other office staff to help with presentations, greeting, prepping, etc. Does anyone have great way that keep their office informed of who is visiting, any special requests etc? Right now we are currently setting them up as a "meeting" in Outlook but I know there has to be a more efficient way to do this. Thanks in advance for any help!
