Hi Trent -
This is a problem we run into quite frequently since we find that many
people just type "James Madison University" into their GPS instead of
reading the directions we send them. This always brings them to the wrong
section of campus and causes confusion. Here are the steps we take for our
large events (3,000+ people):
1) Since so many people prefer to use a GPS to find the university, we
provide the GPS address of the designated event parking lot in our
confirmation email (along with the driving and parking directions).
2) Our FM's sign shop puts "Open House Parking" directional signs into
sign stanchions around campus the afternoon before the event. Our campus
is right off the interstate so we strategically place these signs so they
are seen as soon as guests exit the interstate.
3) I order smaller purple and gold plastic and double-sided signs (called
yard signs) from our local Signs USA that have metal stakes and go into
the ground. They are set the morning of the event by a staff member and
read "Open House Parking" with the appropriately placed arrows.
4) Also through FM, I order two large electronic signs (called portable
VMS signs) that are programmed with the correct directions, usually "Open
House Parking Ahead" and are then strategically placed.
5) We work ahead of time with our campus police/public safety office who
recruits additional help from local city police and sheriff's deputies
(and sometimes state police) to set up an extensive plan for traffic
direction to handle the influx of cars. Police are stationed at the I-81
interstate exit and at major road intersections.
