[civsa] Visit Confirmation Communications

Hi Nicole-
Our online request form sends an automatic message letting them know we have received their request, and then once the visit is finalized we manually send them a confirmation. Our confirmation email is designed to be sent to all visitors, and then we attach parking passes and confirmation forms that can be adjusted for each visit. (We built Word templates for the confirmations, only the schedule and identifying information is able to be edited).

Below is an example of what our individual visit confirmations look like, and attached is the confirmation form:

Driving Instructions :

Coming from the north:
>From Interstate 5 southbound, take exit 109 Martin Way. Turn right off the exit onto Martin Way. At the first traffic light, turn left onto College Street. Turn left onto Abbey Way/6th Avenue SE, then follow the signs to the desired campus location.

Coming from the south:
>From Interstate 5 northbound, take exit 108 Sleater Kinney Road/College Street. After exiting, stay to the left toward College Street. Continue on 3rd Avenue SE. Turn right on College Street. Turn left at the next traffic light onto Abbey Way, then follow the signs to the desired campus location.

How do you convey your information?
Do you imbed links?
Do you spell out your information so people can use the confirmation as a guide and/or to check-in?
Are your confirmations general or are they specific to the visitor?
Do you send any - one or more follow up emails/reminders?
Is email your primary mode of communication, or do you use other methods or media?
