Good Morning Nicole,
Below is an example of the email I send to Freshman students who sign up to come for a campus tour. The email to transfers is slightly different and has a slightly different tone to it since many of them do not want a full campus tour (they just want to see what is relevant to them and their major) so we try to cater to that as much as possible. I do send an email reminder as well 2 days before the visit just to confirm they are coming and see if they have any questions.
For group visits I send them a personal email thanking them for wanting to come to campus and then once a date is confirmed I send them a full contract. Feel free to email me directly (tsandles at txwes.edu) if you would like a copy of that. Hope this helps :)

My name is Trent Sandles and I am the Campus Visit Coordinator here at Texas Wesleyan. I have you down to come visit campus on <insert date> and we can't wait to see you! I was emailing you to confirm that you were still coming to campus. The campus tour will last around 1 ½ hours and is a walking tour so please wear comfortable shoes. I have also attached a Campus Map<http://txwes.edu/admissions/visit-campus/maps-and-directions/> to this email so that you can know where to go leading up to your visit as well as once you are on campus.
Our home is building #1 on the campus map and our physical address to the Admissions Home is 3015 Avenue D. Fort Worth, Texas 76105. Parking is on the west side of the building and you can park in any available parking spot. Please email me back one way or another just to confirm or cancel your visit. If you have any questions about your visit please feel free to email me at tsandles at txwes.edu or give me a call at 817-531-4445. I look forward to meeting you soon!"
