[civsa] Dismissing Tours for Large Events

For Accepted Student Days (typically 130 students and 450 guests ) the tours start at the end of the Academic Sessions and are led by Tour Guides within that particular major.  As we have pre-registration numbers by majors, we assign the appropriate number of tour guides to the academic session and then they 'split' the group if needed with the help of a staff member (also assigned to the academic session).    For 'early bird' tours on these days (yes the people who arrive at 7:30 am for a 8:45 am start!) we announce that tours are leaving and they need to meet at a certain location in our atrium - we then send out small groups (1 to 3 families at most) per tour guide until the program official starts at 9 am.

During Open Houses (typically 180-200 students + 500-600 guests) we have tours throughout the program so we have our tour guides lined up by 2's and we send them out periodically every few minutes.  We tend not to have one big group approach for tours as there multiple sessions throughout the day so families come up to the tour area as they finish a session/lunch/breaks/etc. and are dismissed within a few minutes.

For our Admitted Student Days, we usually have between 250-300 guests. Each student has a name badge color-coded to their general area of study. At tour time, we have our tour guides hold up a sign listing the area of interest shown on the tour (Visual Arts, Media Arts, etc.), in the color code for that tour. So students just find the sign with the color that matches their name badge and go hang with that tour guide. It?s still pretty chaotic, but works fairly well. We usually get all the tours off and running in about 15 minutes.

During our busy seasons (we have two sessions of about 350 guests), guests listen to a 30 minute info session and, during that time, the College Ambassadors come in quietly and scope out the room to divide it up equally among themselves. It's a "guesstimation" system, but each College Ambassador stands next to a section of the room that represents roughly 25-30 guests so groups tend to be pretty equal. Once the info session is over, the CAs take their groups out one by one and begin their tours.

I assign students and parents to tours and put the name of the tour group (a ski resort) on their name tag. Hello all,

I am wondering if anyone has any great ways to dismiss tours for large events. For our spring events, we typically have 500 guests in each session. I hate counting people off tour tours because it feels so impersonal and unorganized (although it is the quickest and easiest way we have tried). Does anyone have an alternative method that has worked well?
