[civsa] Dismissing Tours for Large Events

I assign students and parents to tours and put the name of the tour group (a ski resort) on their name tag. The guides stand in the middle of our green with signs (in alpha order) and families find their guide. I can then be strategic in my assignments, so I put all of the engineers in one group and make sure they go through the engineering building and so on. It takes about 15 minutes for families to use the restroom and find their group. It works well, but it takes planning and the use of mail merge. :)

Hello all,
I am wondering if anyone has any great ways to dismiss tours for large events. For our spring events, we typically have 500 guests in each session. I hate counting people off tour tours because it feels so impersonal and unorganized (although it is the quickest and easiest way we have tried). Does anyone have an alternative method that has worked well?
