Hi Wyatt,
That sounds like quite the process! At the University of Denver we do a lot through our CRM, Slate.
Through Slate, we are able to schedule all students who have registered for a Daily Visit for academic appointments as well as class visits. Once all of this information is in Slate, we have created a Query that pulls the itinerary information and we save that Query (in excel format) to our computer. We have then created a mail merge word document based off of the Query’s information, and mail merge the saved excel file into the word document. This way we are able to create our itineraries very seamlessly.
To save paper, we only print itineraries for those who register for academic appointments and/ or class visits as those items are outside of our typical Daily Visit itineraries (the information session and tour).

At Point Loma we create a printed itinerary to attach to each welcome packet for our guests. This itinerary includes Tour Information, Lunch Details, and any additional appointments that are scheduled for the day. I currently have our front desk student workers create and print the itineraries for the following day (ranging between 5-75 itineraries).
There is a lot of copy/pasting involved, but this still takes quite a bit of time to create and print each custom itinerary.
I'm curious to hear how y'all go about doing itineraries (if at all). Do students feel special having their name on a packet as opposed to receiving a generic packet? Do you only send custom itineraries to students through email, and everyone else just gets a packet?
We use SalesForce/TargetX for our management software --- I'm also open to the idea of learning new ways to automate processes to generate itineraries as well. :)
