Hey CIVSA-Land!
So as you may have seen from my email 2 weeks ago - our Parking Department decided to switch all visitor lots to a pre-pay system and gave Admissions a little less than two weeks to figure out how to adapt to this model.
Before, we had parking stickers that served as validations. We didn't have to say a lot in our old confirmation emails except that we only validate 3 hours worth of parking and that's it.
Now with this new change, we had to make some changes...
Every tour registrant receives an initial confirmation email upon registration. Twice within this email it says that a follow up email with parking information, including their code, will be sent to them three days before their tour.
The three-day-out follow up email then contains a brief reminder, and detailed info on parking on campus. Because of the way the parking system is set up, we have to use coupon codes - the problem is, there is nothing to stop people from sharing and forwarding these around, which is why the email is only sent three days out - we are trying to create the impression that this an exclusively generated code, etc.
It's a pain for sure. I can't really say how it's going because it's only been in play for two days. So far so good, I guess?
We use Hobsons Connect Events and Interviews Module.
See you at conference!
Scott

Subject: [civsa] Parking passes with visit confirmation emails
Good afternoon!
We will be moving into a new Admissions Office space next spring and are re-evaluating how we will provide our visitors with parking passes.
- Do any of your institutions email out parking passes along with your visit confirmation emails?
- If you do, have you had issues with current students from your campus finding out and abusing the system so they don't have to purchase a university parking pass?
- Also, what CRM or software do you use to generate those parking passes via email?
This and any other feedback you have about confirmation email-generated parking passes (either positive or negative!) will be greatly appreciated.
Thanks,
Jen
