We use When2Work as well, and love it!
I believe it does keep records - there are some good video tutorials online and their help section is fantastic.
One of the things I really like about When2Work is that there are many different ways to view the schedule. It works well for ambassadors to pick up or trade shifts, and they can set it up to get notifications for various things on their phones, sync with their calendars, etc.

Love this thread! We're looking to revamp our system as well (google calendar feels archaic), so this is super helpful.
Question, does WhenToWork allow you to keep records/data of tour guide shifts? I'd like to be able to track how many tours my guides give each year, do you know if that's possible with WTW?

The guides maintain their availability in the system, which allows you to create your schedule and then if you like you can use “auto-fill” to population the schedule based on availability, seniority, etc. There is a shift trade board and they can request time off as well.
