[civsa] Tour Guide Ambassador Management Software

At the University of the Sciences we use OrgSync http://www.orgsync.com/. We use a card swipe process (school ids run through a card swipe that you can use with any laptop/pc) so students are able to swipe into a tour time/event/training, etc and we have the ability to set a standard time for an event or to have the students swipe in/out for exact time management. If card swipe is not available though it very easy to manually enter participants to an event.

It is tremendously helpful when pulling reports for payroll and our ambassadors are also able to produce an "activities" resume that shows what they have participated in, if they have a specific role (i.e. council, daily ambassador, telecounselor, trainer, etc) and keeps a log of their hours (which we also use for incentive awards).

Communication is streamlined especially when we have special programming - it allows students to RSVP to an event so we can also keep track of who has NOT participated in programming (aides in the retention of our ambassadors) and I use it weekly to send out reminders/changes/special notes (ie. Birthday wishes, etc). OrgSync's customer service is great; they were able to get us up and running very quickly and their Web/phone trainings were spot-on. NOTE: We do NOT use the public aspect of OrgSync which allows the public to register for events directly as we use Ellucian's Recruiter for this but it appears very easy to use and very flexible.

Feel free to contact me directly if you have specific questions and Good Luck!

At Point Loma we started using "When I Work <https://tracking.cirrusinsight.com/b17bb2a5-9913-411e-b7d1-bfdae303203b/wheniwork-com>"
to schedule our student employees. It is easy to build template schedules and communicate with students. We are able to send text/email notifications regarding schedule changes, and it offers an "open shift"
feature for students to be able to claim open shifts (or group visit opportunities).

They offer a free 30-day trial and have great customer support --- they'll even upload your current schedule into When I Work so that you are able to get started right away without any hassle.

Students are able to download the When I Work app and can set their "preferred" work hours as well as set their unavailability.

There are TimeClock and Attendance features (you can even set up an iPad for students to clock-in and clock out on).

Check them out! wheniwork.com
