[civsa] Compensating Students for SDI Conference

Our Ambassadors are volunteers, so we are not dealing with any compensation issues. We are required this year to file IRS paperwork on any "extras" they receive. The students we are bringing will be taxed on any expenses we pay for them (airfare, hotels etc.). Is anyone else dealing with this new regulation? It also applies to any incentives they earn throughout the year.

Hello Frank,
In the past I did not pay the students hourly for their attendance at the conference since we were covering airfare, lodging, meals, etc. However, I asked HR this year and they said I have to pay them hourly. I have to use our university travel policy to determine what counts as paid time and what does not (for example, eating dinner on our own would not count as paid time), but legally I have to pay them.
You may want to check with your HR department to see what they recommend. I hope this helps!

Hello all,
I also checked with our HR and was instructed to pay our students during times they're active in conference, but that travel time to and from the event doesn't count for compensation (though we are also paying for their travel and room fees).
