Hello Civsa!

We have a few questions on standard practice/liability for overnight visits:


1)      If you have overnight visits/student hosts, do the visitors receive their own rooms or do they stay in the room of the host?
At Texas A&M University all program staff (including hosts and current students working programs) must have a background check on file and must complete child protection training for minors. Because both processes can be lengthy, especially when we have numerous staff working our programs, we do not go the host route; rather, we put our prospective students (minors) in hotels. We typically house 4 students per room; females on one floor with female staff in their own rooms and males on another floor with male staff in their own rooms.

We have found that the "host" option opens the door for a lot of uncontrollable situations (drunk roommate, fire drills, pranks, prospects sleeping on the floor, etc.). For us, this option has too many unpredictables which can negatively influence the prospective students.


2)      When you have unaccompanied minors on overnights or tours, do they have to have two student hosts, or are there instances when they are accompanied by just one student employee? Our staff to student ratio for programs is 1:10. Our student workers (Peer Recruiters) are staff and serve to meet this ratio. Again, at our university all staff must have a background check and child protection training on file to serve in a "supervisory" role for minors. Because high school and college students are relatively close in age, we try to make sure there is a three year difference between our Peer Recruiters and prospective students. It is very rare our Peer Recruiters will work overnight shifts. Our full-time/budget staff handles overnight supervisory responsibilities.

Any discussions you've had on campus regarding Title IX, supervision of minors, and liability regarding overnight visitors would be helpful.
