Hi Kristen,
We offer a special meal price for our large group visits (this is typically a high school teacher or counselor bringing a group of 10-50 students) that eat in our dining hall during their visit. The regular cost at the door is $10 but we've worked out with Dining Services to charge them a flat rate of $7.25 per meal. This has worked out well for large groups who visit us.
For our Open Houses (we do them four times a year, on a Saturday), our department pays for the meals of the prospective students and their guests so that it's complimentary for them. We do get a break on the cost, I believe it's similar to what our Dining Services charges us for our large group visits.
We haven't worked anything out for daily visitors who come to campus--our counselors do have meal tickets on their ID cards at all time so if it's a unique situation, they will swipe their card in for a student and a family member(s) to eat lunch. It's nothing formal and they probably only do this a few times a month, if that.
I'm enjoying learning how others do it, it can get expensive but at the same time, it's nice for a prospective family to be able to enjoy lunch in the dining hall when they visit campus.

Hi Kristen -- At one time we, too, gave out unlimited meal passes. But the Admission Office (located in the Duesenberg Welcome Center at Valparaiso University) worked with the Dining Services Director to come up with this plan:
1) give out one $8.00 lunch coupon to the admit who visits through our office (not parents or family members); this may not cover the cost of an entire meal, but most often it does as we get the receipt back attached to the card so we can monitor how the program is working;
2) Saturday visitors -- EACH person, including family members, get a $5.00 coupon to put toward a snack or lunch; we do this because it's such an atypical day to visit and we want to do something special for them since they don't get to experience classes or faculty conversations;
3) overnight visitors -- we give one supper card and one breakfast card to the student and to the host; we have an arrangement with Dining Services that our office will be charged $8.00 per card, no more or no less (we monitored it for a year and it pretty much is a wash);
4) visit days -- at check-in they receive a 5x7 Valpo Visit Day Lunch Card that is given to the cashier and it pays for whatever the participant (including family, parents) has on their tray at lunch; our office is charged $8.00 per card and the meal is in our cafeteria so they can experience our dining set-up. Some of our visit programs have a catered meal instead and then we are direct-billed a specific cost per head.
This plan runs quite smoothly for us and we've had much better control of our budget. Also, we no longer provide any meals for groups that visit; they are encouraged to talk with Dining Services to set up special accommodations for a dining experience if they'd like to make that investment themselves. We provide drinks when they return from the campus tour, however.

Currently, we are giving unlimited passes to prospective students, their families, and any athletic recruits that visit campus. This includes overnight visitors who may be on campus for several meals. I’m wondering if we really need to be doing this. If we end up limiting the passes, I would like to develop some kind of policy that I can distribute internally (especially to coaches).
