Hello Dee,

I have an opportunity to clear out my emails, I saved yours because I wanted to respond, sorry, it took me so long!

Cal State East Bay hosts Preview Day for prospective students in the Fall and Welcome Day for admitted students in the Spring. Preview Day is an open house format pick and choose what you want to learn more about, the goal is to encourage students to apply. Welcome Day is more of a program to follow with a detailed what's next theme, the goal is to encourage students to submit their intent to register forms.

Our Welcome Days are held in April and we also host two smaller regional events in southern California, one in Los Angeles and the other in Orange County or Riverside. 25% of our applications come from southern California.

The event on campus is a huge deal, we go all out for it. We have a Welcome, where we invite the university president to speak at and then our schedule consists of 3 workshops for students to choose from. The workshops are admission next steps, financial aid, student life, student housing, majors, athletics, study abroad, veterans, various other departments on campus are invited to present and campus tours. It is very lively, there's a DJ lots of balloons, student clubs perform as entertainment, bubble and popcorn machines, majors, departments and student clubs participate in a showcase tabling; it feels like you're at a fair. Admitted students are offered a free lunch and the student's guests need to pay for lunch. Registration opens up at 8am and the last campus tour of the day leaves at 12:30pm. For the most part our guests tend to leave at noon.

The regional ones are much calmer. They are commonly held at a hotel conference room. There is a Welcome, and we invite someone from financial aid, housing, and athletics to join in and present. We also fly three students who are from southern California down and have a student panel for them to share their experience and answer any questions. Refreshments are served at these events, typically cookies/ brownies and juice.

Cal State East Bay is known for our raffle prizes. We give away shirts and different campus swag. Our bookstore has blessed us 4 $250 scholarships to the bookstore, which is a great way to buy books, new East Bay gear, or help purchase apple products that we sell at our bookstore. We give two away at Welcome Day and one at each regional event down south.

Good afternoon CIVSA,
I hope your December is going well!

We are starting to consider the necessity of admitted student events for the spring semester. For those of you who already host these types of events, how is your event structured:

1. On-campus or regional event?

2. Mix and mingle, guest speaker or mix of both?

3. Full meal or refreshments?

4. Do you provide handouts, gifts, certificates of recognition?

5. If its on-campus, is it a day of sessions, more of a One-Stop Shop (i.e. register for housing, financial aid workshops, etc.)?

What are some best practices you would recommend for an admitted student event? If you have an itinerary you wouldn't mind sharing, I'd appreciate it!
Thanks,
Dee
