I have 10 students who work the desk and they trained with me when they started. Then second semester when I hired more, the "older" students who were really doing well helped train the new students. However - as this is new for all of us (we just became student staffed this past fall), it still needs tweaking. I did write a manual with specific how-to's for the various duties and some general information. I keep it in a google doc and am consistently updating it as we go along. I recently sent out a survey to my staff and asked them to mark that they had read the latest "updated" version. I also send out periodic emails with general information, things that have come to my attention they need to know, etc.. We also have a Facebook group that I try to put notices, and helpful tips about customer service on. *Sheila R. I typically carve out a month or two and let the students know I'll be listening in from time to time during that time period. It is quite amazing to listen how a caller sometimes treats a student and then immediately changes their tune when connected to a professional staff person! They are so expensive and did not listen to our edits. The cover photo for our tour was a building that while on our campus, but wasn't actually part of our college. We asked for a photo of our college but they didn't change it since the one in the photo was more eye-catching and modern. They give you photographs of people to be the tour guide, but the photo was quite misleading from how the person we selected actually looked. We nicknamed her "cheekbones" because she wore so much make-up she looked like an alien. We didn't actually get much interest from the tour. They give you photographs of people to be the tour guide, but the photo was quite misleading from how the person we selected actually looked. It's best to try to set them up for that expectation through your communication, which we all know is selectively read. We have a large audience, plenty of tour guide help, but usually one staff member to present and answer questions. It still ends up working out. Despite some negative feedback along these lines (or about the campus not being too active) we still have a steady stream of data telling us that these visits are valuable, and necessary for a ton of families with kids who are heavily involved and/or taking rigorous, AP filled course loads and are afraid to miss one day of school. However, we do try to accommodate Saturday visitors when it has been requested. The visit is different as they will likely not get to meet with faculty and can't attend a class. We still bring in a counselor to meet with them and give them a tour. We also have 3 Saturday large group days that we offer during the school year as well. We too have run into families expecting us to be open on the weekend and can be a little irritated when the visit is not able to offer the same things as a Monday-Friday visit can. We just do our best to accommodate in the ways that we can and know that you are not going to make everyone happy. I can also agree with the comments that Andrew made about setting expectations through communication as best as you can. I also agree that we get feedback from families that students just don't have other options for a visit except for a Saturday because they can't miss a school day due to heavy work loads. Whereas we regularly schedule admission information sessions only on weekdays, we do select a number of Saturdays to offer an additional admission information session and student panel. This usually happens 4-6 Saturday per academic quarter, when it doesn't interfere with football games or other campus events. These sessions are led by student ambassadors rather than FTE admission staff; our accompanying "Student Forum" (informal discussion panel) is a popular component and easier to schedule/accommodate, so that people feel like they got more than "only a tour" without any insights. People seem to understand why FTE staff aren't present on weekends. They?re the same as our regular weekday campus tours - some buildings might be closed but that?s about it. Obviously other offices are closed so most families do understand that it wouldn?t be possible for them to speak to a Dean or a faculty member on a Saturday afternoon and that classes wouldn?t be in session. If any family ever does want to speak to someone we do our best to try find a student who has experience with that department or we?ll provide them with a name to contact on Monday. We currently only offer Saturday tours during the academic year and have found them to be highly successful in ensuring that a lot of our out of Los Angeles families have the chance to see campus and to chat with an Admission rep. We do make exceptions outside of our regular tour times throughout the year only if the family is flying in from out of state or from Northern California - provided we have 24-48 hour advance notice. We tried to table these but the data shows they have high attendance as well as high application and yield rates. We too face the same criticisms at times about offices not being open but the majority of visitors realize that it is a weekend and those opportunities probably won't be available. It's best to try to set them up for that expectation through your communication, which we all know is selectively read. We have a large audience, plenty of tour guide help, but usually one staff member to present and answer questions. It still ends up working out. Despite some negative feedback along these lines (or about the campus not being too active) we still have a steady stream of data telling us that these visits are valuable, and necessary for a ton of families with kids who are heavily involved and/or taking rigorous, AP filled course loads and are afraid to miss one day of school.
