Since I started working at LMU my goal has been to gradually increase the opportunities for ES/MS students to explore our campus such that I'm hoping for 20 groups this semester to visit our campus (up from 5 when I first started). While I believe that the campus tour is a transformative experience for these students I want to be able to provide more general education tips on college or other ways to make it "fun" or "engaging." We have a scavenger hunt, and guided tour option set up for them, but I am looking for any suggestions on how I could improve their experience? Our current presentation available in our welcome center is designed for HS/CC students and hasn't performed well with students in the 7th grade and below. At this time, our STEM dept. does all the programming for 6th grade and younger. For 7th/8th, we meet & greet with the students and have a 20-30 minute discussion about college that focuses on college as a real option and why college is a great option. We are going to be creating video and a power point for them to help make the conversation a little more engaging and detailed, but this is still a work in progress. (I'm pretty sure I saw a power point on our CIVSA/listserv site from another school designed for MS. We may model ours after that one.) Our MS presentation now is simple and conversational. After we meet and greet with each group (about one to two per week), they go to STEM. They have the option to do our scavenger hunt if the group is 40 students or less. (Larger groups have led to complaints from campus faculty and staff due to disruptive behavior...even though chaperones are present.) Will keep an eye on this chain-would love to hear more ideas. We do an Access and Opportunity Day for First Generation students and include tours and information sessions for our Spanish speaking attendees. We market them through our partnerships with community based organizations that service those groups. We cover the application process (how/when to apply, essay writing, classes that are important to take in high school, etc) and financial aid. We paired our students into groups of 2 and had them designate a student A and a student B. All A students told B students their personal stories about using a service/resource office on campus and all B's had to stand and present the stories as if they were on tour. This really helped our students who have never used a particular service at least have a story (or a few that they could choose from) and/or just having another story to share in general for anyone that wanted to use it. We also meet weekly and I will continue to have them do this fairly often (about residence life/dining/rec. center, etc.) so that students have more stories/experiences to share on tour. We use a google calendar to show if the days are available for group visits. The groups submit their top 3 dates that they want to visit and we schedule in the order received. We have our Customized Visit and K-12 Field Trip Campus Visit Program information and registration/campus visit request online through our Campus and Visitor Relations website. If you would like go through the registration process and review the information, please make a note in your 'Name' or the 'Comments' section that you are a 'CIVSA test user' so our student interns don't contact you. The office of Admissions and Recruitment allows high school groups, with less than 40 students, to register for the general Admission Information Sessions (AIS) at 10:30am Monday - Friday mornings or they may provide a private AIS for a group (depends on the group and admission staff availability). Middle school students receive a 'classroom stop' during their campus tour where pre-college and admissions information is discussed, and the MS students are able to ask many questions about college life. We note on our website that we only offer tours to High School Groups, CBO's working with HS students, and Community Colleges. We cap those groups at 50 pax with the exception of Fridays - purely by virtue of having triple the number of available tour guides on Fridays as compared to other days. We also have an unofficial third group tour time available M-F for groups that request special accommodations. We offer groups tours/self-guided tours/scavenger hunts for Middle Schools/Elementary school groups too on a case by case basis. We have a small pool of Ambassadors - separate to our tour guides who serve in that capacity. All of this is done through Slate - with notifications sent directly to my work account. That way if groups sign up they receive everything immediately, and likewise I'm kept up to date on all of the sign ups while still doing my own territory management. At other institutions where I have worked at or volunteered at, they didn't use Slate for their tour options which GREATLY slowed down the response time and added a lot more work to the group tour coordinators plate. Our campus visit policies are very similar to all of the others already sent through CIVSA this morning. If a group is over 30 minutes late, their tour will be abridged, if they are one hour late, then they will have a self-guided option instead of a guided tour. However all groups have the option to request a presentation no matter what. We also typically get around 290 group visits a year which is manageable due to Slate. We have about 5,000 visitors each year with about 3,000 coming in groups. We also have a group visit policy and procedure: 1) Group leaders must complete the online request form on: https://www.uhcl.edu/admissions/visit/group-tour. The form has all of our guidelines and asks all of the questions we need to schedule the visit. Even when they call, we tell them to go online or we fill out the form for them on the phone. This is to ensure that they understand the guidelines to which they are agreeing. 2) We receive their request via email, and the events assistant checks the calendar to see if we have a tour scheduled for their first choice date. If not, she looks for the second date and so on. 3) Then, she submits a facilities request to ensure that we have a classroom available on campus to accommodate the group. 4) Once that we receive that back, she sends the confirmation email to the group leader. 5) About a week before the tour, she sends out a reminder email and/or calls them. If the date is unavailable or the group is too large, she will correspond with the group to find an alternative. The same goes for eating on campus - she will send them information about our on-campus dining services, as the group must contact dining services directly to get lunch setup. The procedure and policies are the same across the board. We have made accommodations for some groups - e.g., those that have alumni teachers or high school groups that want a date already taken by a middle or elementary group - but for the most part, the procedure is clear cut. Our Admission Department leadership would like our Student Ambassadors to have an avenue to share information about the families on their tour, with the Admission Counselors. One of the things that was discussed, was asking the ambassadors to log notes in the CRM post visit. Do any of you out there have processes for documenting notes from ambassadors after they interact with a family? If so, how is this done (verbally to the counselor, Ambassador logging in the CRM, etc) and I would be curious to know how you structure it, to make sure the ambassadors are taking time to do this and if it's been helpful to your Admission Counselors. Do any of you have such an event? If so, what about it makes it unique from all of your other Open Houses and Preview Days etc. I'm looking for any suggestions that might make it more interesting than just another student panel or faculty conversation etc. Thank you!
