How many of you charge a registration fee for your preview day type events?  If you do charge a nominal fee, how much do you charge?

Hello all,

At NYU, we have a special Early Decision Reception in early February. This
year, we invited our ED admits and their families to join us for a brief
program where they hear a welcome address from our Dean with light
refreshments and exclusive NYU swag. Then, we bus them to a popular ice
skating rink in the city. Our regular admitted student weekend takes place
in April and they are welcome to come to that as well.

I was wondering if anyone has more formal/standardized charts/note-taking sheets that their student leaders use to take notes when they shadow tour guides, or any documents outlining the shadowing process at your institution?

Hi Molly,

We recently revamped our Evaluation Tour process (new hires must pass an Evaluation Tour to become certified to give tours; this is the only time our tour guides are formally evaluated on their tour). This evaluation is two-fold:

?         Checklist for accuracy of information

?         Tour Evaluation (cumulative); the Communication Evaluation Rubric is on the back of this form

o   On this form, evaluators can take notes on the new hire?s strengths, weaknesses, and an action plan for how to improve

The Communication Evaluation is based on our training course?s Student Learning Outcomes (in short, our goal is to teach new hires communication skills to speak in front of a large group of people).

Hello all,

We don't have an event day for this population, but we do host a Spanish campus information session. It is run like one of our daily tours, but in Spanish. We set aside 1 or 2 Friday's out of the month for this session, which we already have predetermined for the year. Guests are able to go online and sign up for this type of visit. If you would like to check it out,

We are fortunate enough here at MSU Denver to have a team of bi-lingual admissions counselors and some bi-lingual tour guides that we use for this type of visit. All of our visuals are also translated. What we did basically is take one of our existing sessions and make it bilingual.

I am definitely intrigued about this idea as well. We have begun a conversation about a Burmese focused visit as well because we have a very high population of Burmese individuals. Excited to see what others have done for this types of visits!

Hello everyone,

I'm looking for ideas on how to better provide group tour experiences for younger students in Middle School or below. We typically get anywhere between 2-3 HS/CBO/CC groups coming every day which in conjunction with our campus tours, takes up most of my tour guides time. Since I started working at LMU my goal has been to gradually increase the opportunities for ES/MS students to explore our campus such that I'm hoping for 20 groups this semester to visit our campus (up from 5 when I first started). While I believe that the campus tour is a transformative experience for these students I want to be able to provide more general education tips on college or other ways to make it "fun" or "engaging."

We have a scavenger hunt, and guided tour option set up for them, but I am looking for any suggestions on how I could improve their experience? Our current presentation available in our welcome center is designed for HS/CC students and hasn't performed well with students in the 7th grade and below.

If you have a presentation or any tips or anything that might help that would be wonderful!

Hi Everyone,

I hope you all are keeping warm this particularly cold January (at least in Houston)!

We have recently hired a student worker to assist our web developer in maintaining the website, including our social media pages. We want to have her sign a contract outlining what she will and will not post on behalf of the institution.

Will those of you who have a social media contract with your student workers send a copy, please? If you have full-time staff maintaining your social media accounts and have a contract for them, that will work , as well!

Hi Christopher,

We have been working with STEM for ES/MS groups. At this time, our STEM dept. does all the programming for 6th grade and younger.

For 7th/8th, we meet & greet with the students and have a 20-30 minute discussion about college that focuses on college as a real option and why college is a great option. We are going to be creating video and a power point for them to help make the conversation a little more engaging and detailed, but this is still a work in progress. (I'm pretty sure I saw a power point on our CIVSA/listserv site from another school designed for MS. We may model ours after that one.)

Our MS presentation now is simple and conversational. After we meet and greet with each group (about one to two per week), they go to STEM. They have the option to do our scavenger hunt if the group is 40 students or less. (Larger groups have led to complaints from campus faculty and staff due to disruptive behavior...even though chaperones are present.)

Will keep an eye on this chain-would love to hear more ideas. Good luck!

Greetings.
We do an Access and Opportunity Day for First Generation students and include tours and information sessions for our Spanish speaking attendees.  We market them through our partnerships with community based organizations that service those groups.  We cover the application process (how/when to apply, essay writing, classes that are important to take in high school, etc) and financial aid.  We even offered a daycare for one of our events because of the number of young children attending with their parents.

We are updating our tour script/resources for our tour guides at Grove City College, a small liberal arts college, north of Pittsburgh, PA.

I'm looking for any storytelling resources you may use with your guides in training to help them develop content to share on tour. I know I've seen graphic organizers that help tour guides write their own narratives on CIVSA listserv or website, but cannot seem to find them now.  I'm also interested in learning more about Fact, Fact, Story. Any resources or assistance you can provide would be most helpful.

Hi all,

Currently we are using Sign-Up Genius as means of allowing our tour guides to sign up for tour shifts. We are a large program with 200+ volunteers. Sign-Up Genius allows students to add the shifts they sign up for to their calendars, however not many students will take advantage of that. With that being said, we have had success on certain days having some of our student workers text message students reminders of their tours that day. I don't want to keep asking students to do this on their personal phones and I would like to find some technology, website, or program that we may utilize to help this process.

Does anyone know of any free options or is anyone using some technology or application to remind their students of upcoming shifts/tours/etc. that is either free/low in cost that can allow for us to just input data and then it texts the participants from there?

Hi Lynise,

Our SAMbassadors are currently in training this week and we hosted a session yesterday on story telling... and I actually got the idea from a session that I attended at CIVSA SDI earlier this month.

We paired our students into groups of 2 and had them designate a student A and a student B. All A students told B students their personal stories about using a service/resource office on campus and all B's had to stand and present the stories as if they were on tour. This really helped our students who have never used a particular service at least have a story (or a few that they could choose from) and/or just having another story to share in general for anyone that wanted to use it.

We also meet weekly and I will continue to have them do this fairly often (about residence life/dining/rec. center, etc.) so that students have more stories/experiences to share on tour. We do not have an exact worded script that students have to follow so we love it when they share their stories, and also share others.

We are updating our tour script/resources for our tour guides at Grove City College, a small liberal arts college, north of Pittsburgh, PA.

I'm looking for any storytelling resources you may use with your guides in training to help them develop content to share on tour. I know I've seen graphic organizers that help tour guides write their own narratives on CIVSA listserv or website, but cannot seem to find them now.  I'm also interested in learning more about Fact, Fact, Story. Any resources or assistance you can provide would be most helpful.

Happy Friday CIVSA-land!

I am wondering if any of you out there have had issues with families either leaving young children unattended in your building while the rest of the family goes on tour, or sending younger children unaccompanied on tour while the parents do something else?  Typically anybody under the age of 14 or so?

Does anyone have policies in place regarding this issue to prevent it?  Have any of you had to create such a policy?

We have had some concerns from our staff, and are looking into the issue, so I wanted to see what else might be out there.

Hi,

We use a web-based software called Humanity. It's great! You can build
shifts and add notes. It also sends students both reminder emails and
texts. It's also great for running different reports if you're looking to
pull out data. It's not free but they do have customizable plans to fit
different budgets.

Hello!

Our office has one admissions counselor who currently manages all group visit requests as one of their administrative tasks (in addition to their territory management).  Phone call/email requests come in and they ad-hoc decide if we can accommodate them, then do all of the set-up required to meet their needs.  Our office is looking to create policy around group visits to assist with better planning, time-management, and expectations for groups.  Does anyone have policy that they've created/instituted that have worked for them?  And are there different policies for high school groups, verses ES/MS groups?
(Randolph-Macon College: 1,400 students; approximately 30 group visits a year)

We've created a couple documents for them to fill out so we get the information we need to schedule their visit. We also have them sign a Group Visit Agreement so we 're all on the same page about arriving on time/behavior.

Hi Olivia,

We offer set times for group visits twice a day M-F with only 1 option on
Tuesdays.  We use a google calendar to show if the days are available for
group visits.  The groups submit their top 3 dates that they want to visit
and we schedule in the order received.  We give priority to high school
groups and only occasionally make exceptions for middle school groups.  By
having a set schedule we can ensure we will have tour guides available.

Hello Olivia,

Our Campus Visit Program has grown by leaps and bounds over the last few years. We offer over 30 different campus venues/activities<https://info.wisc.edu/campus-tours/customized-campus-visit-options/> that school groups can participate in. We also offer specialized/customized campus visits for alumni groups, foreign delegations, civic groups,  summer camp/school programs, afterschool groups and many more.

We have our Customized Visit and K-12 Field Trip Campus Visit Program information<https://info.wisc.edu/campus-tours/k12-field-trips/> and registration/campus visit request online through our Campus and Visitor Relations website<https://info.wisc.edu/>. If you would like go through the registration process and review the information, please make a note in your 'Name' or the 'Comments' section that you are a 'CIVSA test user' so our student interns don't contact you.

The office of Admissions and Recruitment allows high school groups, with less than 40 students, to register for the general Admission Information Sessions (AIS) at 10:30am Monday - Friday mornings or they may provide a private AIS for a group (depends on the group and admission staff availability). Middle school students receive a 'classroom stop' during their campus tour where pre-college and admissions information is discussed, and the MS students are able to ask many questions about college life. We also have many publications<https://info.wisc.edu/plan-your-visit/publications/> (such as the Admissions Viewbook and a Self-guided Campus Tour)online as well.

Hello Olivia,

We offer two group tour times M-F at 9am and 12pm. We note on our website that we only offer tours to High School Groups, CBO's working with HS students, and Community Colleges. We cap those groups at 50 pax with the exception of Fridays - purely by virtue of having triple the number of available tour guides on Fridays as compared to other days. We also have an unofficial third group tour time available M-F for groups that request special accommodations.
We offer groups tours/self-guided tours/scavenger hunts for Middle Schools/Elementary school groups too on a case by case basis. We have a small pool of Ambassadors - separate to our tour guides who serve in that capacity.

All of this is done through Slate - with notifications sent directly to my work account. That way if groups sign up they receive everything immediately, and likewise I'm kept up to date on all of the sign ups while still doing my own territory management. At other institutions where I have worked at or volunteered at, they didn't use Slate for their tour options which GREATLY slowed down the response time and added a lot more work to the group tour coordinators plate.

Our campus visit policies are very similar to all of the others already sent through CIVSA this morning. If a group is over 30 minutes late, their tour will be abridged, if they are one hour late, then they will have a self-guided option instead of a guided tour. However all groups have the option to request a presentation no matter what.
We also typically get around 290 group visits a year which is manageable due to Slate.

Hi Olivia,

UHCL is a public institution with about 9,000 students enrolled. We have about 5,000 visitors each year with about 3,000 coming in groups.

We also have a group visit policy and procedure:


1)    Group leaders must complete the online request form on: https://www.uhcl.edu/admissions/visit/group-tour. The form has all of our guidelines and asks all of the questions we need to schedule the visit. Even when they call, we tell them to go online or we fill out the form for them on the phone. This is to ensure that they understand the guidelines to which they are agreeing.

2)    We receive their request via email, and the events assistant checks the calendar to see if we have a tour scheduled for their first choice date. If not, she looks for the second date and so on.

3)    Then, she submits a facilities request to ensure that we have a classroom available on campus to accommodate the group.

4)    Once that we receive that back, she sends the confirmation email to the group leader.

5)    About a week before the tour, she sends out a reminder email and/or calls them.

If the date is unavailable or the group is too large, she will correspond with the group to find an alternative. The same goes for eating on campus - she will send them information about our on-campus dining services, as the group must contact dining services directly to get lunch setup.

The procedure and policies are the same across the board. We have made accommodations for some groups - e.g., those that have alumni teachers or high school groups that want a date already taken by a middle or elementary group - but for the most part, the procedure is clear cut.

Our office has one admissions counselor who currently manages all group visit requests as one of their administrative tasks (in addition to their territory management). Phone call/email requests come in and they ad-hoc decide if we can accommodate them, then do all of the set-up required to meet their needs. Our office is looking to create policy around group visits to assist with better planning, time-management, and expectations for groups. Does anyone have policy that they've created/instituted that have worked for them? And are there different policies for high school groups, verses ES/MS groups?
(Randolph-Macon College: 1,400 students; approximately 30 group visits a year)

Hello CIVSA!

Our Admission Department leadership would like our Student Ambassadors to have an avenue to share information about the families on their tour, with the Admission Counselors.  One of the things that was discussed, was asking the ambassadors to log notes in the CRM post visit.  Do any of you out there have processes for documenting notes from ambassadors after they interact with a family?  If so, how is this done (verbally to the counselor, Ambassador logging in the CRM, etc) and I would be curious to know how you structure it, to make sure the ambassadors are taking time to do this and if it's been helpful to your Admission Counselors.

We do a Junior Visit day in the Spring. We bill it as being a group of
"your peers who could possibly be your classmates". I've attached a
schedule of our program from last year.
