After every tour we have a 7 question survey in which they rank whether these categories: exceeded expectations, met expectations, or were below expectations. This is then followed up by written responses about their tour guide (what can they improve on, what did they do well on) and their overall campus experience. We are curious whether these questions are effective in receiving critical campus feedback to improve our tours in the future. We are currently distributing them via paper surveys, but are switching to a QR scan and online form they can fill out- we are trying to go as green as possible. With that being said my questions for you all are: What type of questions do you ask on your surveys? How do you distribute your surveys to your guests? The student coordinators work with our "CIAD" coordinator to plan itineraries for the students, helping them find classes to attend and so on. Each admitted student that visits has a student host that they shadow over the course of the day, who is an employee of our office. Admitted students sign up through our visit calendar (we use Slate), and we cap each day "Caltech In A Day" visit to 5 students or less (depending on the time of year)-no families allowed! Each "Caltech In A Day" happens M/W/F during yield season (Feb-April), and students have until 2 weeks before the event to sign up, which gives us time to plan their itinerary! We have two tabling sessions: Student Clubs Fair and then Academic Department Fair. We have a long student union building so we can line up skinny 5' tables down the length of it. We can fit around 16 tables. We contacted our VP of Clubs and Orgs to see who wanted to table at this event. We also asked our Student Ambassadors who are involved with clubs or orgs to contact their President and see if they wanted to table. It was first come, first serve for tables. (I made an excel doc with their club or dept name, the contact person, and which table number they were going to be occupying.) We also emailed the Deans of our 4 colleges to see who would like to table at the Academic Dept. Fair. Recently, we had a college job fair and a career services fair and tabling was approached in a similar way. Those in charge of organizing the fair reached out to supportive organizations to table. Sometimes, we have Student Services tabling, too, depending on the event (like Orientation or our Wildcat Days-April events for seniors in high schools to visit school and get loads of info.) We even have our campus police table from time to time to let students know how to connect with them for help or for job opps. Throughout the year, on-campus clubs, depts., etc. have the opportunity to table in our student union. At certain times during the year, off-campus groups are invited to table, as well. Tabling times are set times on set dates and require permission from the hosting on-campus group. Hope that helps!
