My favorite portion and one that creates a light moment for the kids is the "Ice Cream Motivation"... put simply, if they work hard in high school the college admission process will be like walking into a Basken Robbins, with 31 flavors to choose from. Struggling in high school will make it more like getting into your grandma's freezer where she has an old batch of vanilla that's frozen over... basically talking about the better prepared you are, the more options you'll have. If you struggle you won't be able to choose as many options that can make your college experience more satisfying. But anytime I can, I also include a student panel. Hope this helps, Andrew ? All of this talk about self-guided tour booklets encouraged me to reach out to you all to see if anyone successfully captures the information of visitors who utilize their self-guided tour option. At New Paltz, we offer tours at designated times Mon-Fri and limited Sat/Sun. Visitors coming outside of these pre-scheduled tours go on a self-guided tour. I am interested in developing a "Sorry we missed you!" type of card that would list our contact information and include our standard inquiry card questions, particularly allowing us to connect with visitors who come to campus when our office is closed. My office is looking to learn if anyone has successfully (or unsuccessfully) launched a similar idea and the logistics behind it. I would love any feedback you all have. Thank you in advance!! Here at LIU Post, we only use electronic check in for big visit events, mostly to speed up the registration process. We also use iPads. We have 1-2 large events (300+ person) per month and using this system has dramatically improved our registration process. We have 2 forms. One is for people who pre-registered- they fill out a few quick lines of information and the data is sent to our CRM, connecting their prior registration with the "showed up" registration. Our IT team builds us a new form before each event; its part of our event prep process. For walk-ins, they fill out a more detailed form that we merge with this "showed up" form. Hope this helps! At our open house events our staff use tablets to check them in. For regular visit days our front desk checks them in on the PC. The only downside is that we don't get "updated" information. *Sheila R. Slate has been a great improvement for us. I will say we probably implemented too quickly, but there's a lot you learn just jumping in. On the visit side, things are so much smoother now! What I wish is that I could have gone to someone's office who uses Slate and actually seen it in action. That said, it's pretty user friendly and you learn a lot just going in. The best advice I got and agree with, is that it's important to think through what you want to do with your information. Organize your folders, think what you might want to every pull out- and make sure you set up export keys. Keep it as simple (folder wise) as you can - but don't be afraid to export everything. One of the biggest changes for us is the electronic check-in for Open House events. Having attendance information immediately is fantastic. I still keep thinking I'm forgetting to do something afterwards because so much is already done. Follow up is so easy. I also suggest going on the Slate Forum and following every thread that sounds like something you have a question about. Most of my answers have come through there. Good luck! *Sheila R. Based on staff and student feedback, it's worked very well. Here's a summary of the process: 1) Volunteer submits form, which creates a record in our Volunteer dataset, which triggers an email with portal access; 2) ambassador logs in and signs up for tour shifts in the portal; 3) they get automatic reminders (including two hours before by SMS); 4) we mark them as Attended or No Show for the shift. At any time, we can add events or change caps based on visitor demand. (Each term, when I post events on our public tour calendar, I create a duplicate set of events using a different template and put them in a different folder, which feed into the ambassador portal.) Two less-than-great issues: We need to figure out a way to limit ambassadors' ability to cancel their shift with less than 24 hours notice. And also, querying/reporting individual volunteer data isn't very easy/clean (i.e., who hasn't volunteered for a tour this month). I made a manual, with screen shots, FAQs, and other tips. I'd be willing to share if anyone emails me directly.
