We are in the process of revising our messaging to group tours coming to campus. We currently host guided group tours September - May to elementary, middle school and high school aged groups, 3x a day on Tuesdays-Fridays. Last year we noticed that some groups' behaviors were not in line with our University Rules & Regulations and Visitor Conduct expectations. Do any of your institutions have contracts in place for group tours to acknowledge and agree to before visiting campus? If so, would you mind sharing those with me? We are mindful of keeping customer service and campus access at the forefront, but also realize that we need to provide clear language for expectations. Currently, we include the verbiage in the groups confirmation email but it's proving that many groups are overlooking this. Continuing with service oriented language is key for me. Thank you in advance for your assistance! Have a wonderful weekend! All the best, *Tiana G. We were also getting several elementary requests, so we have tried our best to keep visits to high school students, as our programming is best suited for high school students. Here is the verbage off of our registration form: We invite high school students to get to know Anderson University through *Group Visits! * Our visit team manager will contact you to confirm details of your visit. We will do our best to accommodate your visit requests but appreciate your understanding and flexibility in advance. General group visits consist of an admissions welcome and tour. *The group visits are intended for High School Students*. For a fall group visit we ask that you choose to attend one of our general Discovery Days or one of our Department Discovery Days offered in the months of October and November. If one of those dates does not work, we offer Spring group visits on several days during the week. Once the Visit Team Manager receives your group request form they will be in contact with you to determine the dates we have available.*For best date selection it is advised to plan your group visit 3 months ahead*. Please take a moment to review the group visit guidelines below as you plan your visit. *Group visits are not scheduled on Saturdays, Sundays and holidays. *A summer group visit is limited to an AU overview and campus tour. *Group Visit Guidelines:* 1. Anderson University can accommodate groups of 100 or less. All visiting groups must have 1 chaperone per 8-10 students. Chaperones will be responsible for all discipline matters needed. 2. AU staff reserves the right to remove a disruptive student from the group. 3. Chaperones should be engaged in the visit and overseeing students so this does not need to happen. 4. If a student is removed from the group's activities, it is the chaperone's responsibility to watch the student while not with the group. 5. Groups may not bring sack lunches or outside food to AU's campus. Groups can make arrangements to have lunch on campus if they wish, but will be subject to the food service meal charges. 6. All groups will need to fill out a student information excel and email it back to the visit team prior to the group visit. 7. If these pre-visit items cannot be agreed upon, AU reserves the right to decline the campus visit. 8. While on campus, I authorize the use of photographs and video footage for promotional materials. Any major change to group numbers needs to be communicated before you arrive on campus. Please relay this information as soon as possible. Visits will be scheduled between the hours of 9 a.m. - 12 p.m., unless specific arrangements have been made. Group visits last approximately 1 1/2 hours, consisting of an Admissions welcome and tour. I hope this is helpful. Paula On Fri, Aug 4, 2017 at 5:09 PM, Tiana Kelly wrote: > Good afternoon, CIVSA - > > Hope everyone is having a great Friday! In the last year, we stopped listing, "University Ambassador" on our polos and jackets. They now simply list the name and/or logo of the institution. The Ambassadors have name badges that state, "University Ambassador" so they still can be clearly identified, and we can donate/raffle/reuse the old gear in a variety of ways for other departments across campus. Best wishes to you! - Stacy On Thu, Aug 10, 2017 at 1:59 PM, Trisha Harshberger wrote: > Hello CIVSA Community! > > I'm curious to know what you all do with old Ambassador gear- polos and > jackets from years past that are not the current gear you give the > Ambassador team. We have 3 campuses within our city - our main campus and then 2 smaller campuses, both a short drive from our main campus. Our transportation office offers shuttle service for our students between the campuses which we also use for transportation of tours to those campuses. One of our campuses is in our city's downtown area, can be difficult to find and you need to pay to park. Having students drive separately/on their own wouldn't work or be ideal in providing a good, pleasant visit experience for them. We are trying to figure out the best method for younger children to be safe & properly restrained during shuttle rides when visiting with their older siblings or parents. Since CIVSA is a wealth of knowledge, we're hoping that some of you will have suggestions on keeping our littlest visitors safe during the tours! Thank you! Has a similar situation happened at your campus? If so, how did you address it? Do you have any policies regarding filming or taking photos during the tours? We have approximately 1500 student visitors and 2900 total guest visit in June, July, and August and we typically send out tours every hour on the hour Monday - Friday (we cap tours at 12 total people). We schedule student tour guides for a morning or afternoon shift and many students work for us and other jobs that pay more. In the past, we have also had the help of other groups on campus who get trained in on tours for the summer. We are finding it increasingly difficult to secure enough summer guides to accommodate all of our visitors. Does anyone have a summer tour guide structure that is working well and not breaking the bank? I appreciate any insight. Thank you!
