We ask they send us an email (the 2 coordinators) as soon as they know they will be out AND we require that they get a replacement for their tour time. A true illness/emergency then we ask for a text or email that day.
We use OrgSync so students can message the whole group directly through OrgSync when they need a replacement so it's easy for them to communicate with each other and administrators also get the messaging so we can keep track. OrgSync allows us to set up upcoming events so students can RSVP if they are planning on attending/missing an event so we know who to expect and we're able to easily send 'reminder' messages about the events so we tend to have a low 'no-show' rate.
We haven't had too many issues with last minute cancellations for daily tours aside from illness but when this has occurred in the past with no replacement/notice then we send emails.
All participation (and non-participation) is noted in their yearly tally of points which determines year-end awards/incentives (i.e. tier 1 = water bottle or $10 lunch pass; tier 2 = branded fleece pullover or $15 Starbucks gift card; tier 3 = $50 visa gift card or 1st pick for next year's daily tour schedule).

Good morning,
How do you all handle your Tour guides asking to be excused for an event, tour, or meeting? Do you simply have them email you, or does anyone have a form they have their students fill out?
Any help would be much appreciated, thanks!

Hello!
We ask the tour guides to submit a request in writing (we have a simple form) at least 1 week prior to the absence. (If they are sick or there is a real-life emergency, they have to let us know as soon as they are able that they are going to miss their shift.)
We also make sure that they understand that it is a request (they are asking us, not telling us) and that the request must have been approved for them to take off (just because they submit it doesn't mean that they are approved). If they find their own replacement or someone to switch with, they are more likely to be approved. :)
Prior to putting these things in place, we had a HUGE problem with no-shows or last minute "hey, I have to have a meeting with my professor in 5 minutes..." excuses so we had to do something a little drastic. Our guides are paid through our labor program so we feel as though we can treat them more like "employees."
