[civsa] New Building

Hi Andrea -- this is Barb Lieske from Valparaiso University; below is the
information I sent Ross yesterday:
>From the beginning, the donors and President had said Admission staff would
be located here. At the beginning we discussed adding in Alumni Relations,
but the Development staff was heading into a new campaign and wanted the
Alumni staff near them so they could partner on events and initiatives.
The reasons:
- Admission folks host the greatest number of visitors to Valpo's
campus.
- Admission staff and tourguides are the most knowledgeable on every
aspect of the University or know where to get the info. Not all offices can
say this.
We never received complaints from other offices, as they knew the
importance of starting the prospective student's visit in the best way
possible. Jealousy, yes. Complaints, no. The Grad Office staff has wanted
to move over here, but with the growth of the University and increase to
our staff, there is no room for them. We do have a couple of cubicles
reserved for them that they use when they are hosting events here. Also, we
moved the University Switchboard into our building which caused some
challenges; it used to be maintained by the I.T. folks. Makes sense in many
ways, but also had a growth curve with learning where to send certain types
of calls.
We are located right next to the main entrance to the University, so we get
more than prospective students stopping by. Tourists driving through,
alumni coming back to campus, community folks wanting to learn more about
the University. So our reception staff had to be trained on dealing with
multiple audiences and that took awhile to work through (same with our
tourguides).
We do offer separate tours for alums (Mondays and Fridays) and will not
send them out on tour with prospective students (you can imagine the
stories that are brought up......). I also host events in the building
during Homecoming Weekend as this is an important building for alumni to
visit!
Because we have a larger presentation room in the building (seats 60, which
is large for us!), other offices on campus can host events or meetings here
through a reservation that I manage; even community groups have hosted
meetings here (local Realty office, Kiwanis, Lions Club).
We added in a strong exhibit component to the building which is appealing
to multiple offices (used the company called Xibitz).
Because the Admission staff is located here, and because this truly is an
office building for us, if another office needs to use the building after
hours (8-5, Monday through Friday), I must be here with them to keep folks
out of the staff members' spaces.
Hope this helps you! It's been a fantastic move for our office, which was
jammed into the University's administration building. We have breathing
room, lots of windows/light, and the whole mood of our office which was set
by staff members' moods shifted to be very happy and positive.
