Hi Tia:

At the University of the Sciences in Philadelphia, we have a similar set-up to what you are aiming for. 

We have 2 front counter staff who handle the day-to-day operations and are the front line to visitors.  The one staff member is part of the Operations team while the second staff member (that would be me!) reports directly to the VP for enrollment management.

We process applications and credentials while answering the phones, offering general admission information,  checking application statuses, etc as well as welcoming visitors, scheduling and coordinating tours and visits and supervise the student Ambassadors.  We have visitors complete forms and then call the appropriate counselor for their individual information session; we also direct tour groups out of the front office.  There is an Assistant Director of Enrollment Events who ultimately is the "head supervisor" of the Ambassadors and she coordinates the larger on-campus programming (Open Houses, Accepted Student Days, etc) but my deskmate and I are responsible for working with  the Ambassadors daily.

Hi Everyone,

My institution is small and only has an Admissions Office - we do not have a separate Welcome Center specifically for visitors.

As a part of the management team, we currently have two (of four) positions:

-       One manages the campus visit program and on-campus events/tour staff

-       The other manages the admissions counselors and front counter staff

We are looking to rearrange the structure to move the front counter to the campus visits/events manager since it is all encompassed in the campus visit experience. Currently, the front counter staff do not participate in Welcome Center-type tasks or publicizing events/the campus. They collect documents and answer surface admissions questions from prospective students. Our goal in the change is to streamline the campus visit experience without the choppiness of things like having to call another area for the tour that has shown up at the front counter. We would also use the students from the campus visit program at the front at that time.

Now for my questions:


1)    Do any of you operate like this - where prospective students can do everything in one place - come for a tour, sign up for an event and turn in their documents in one place (one front counter)?

2)    Does one person (or one area) manage this entire experience or is it separated out between the managers?
