Hi Scott and listserv!

Ohio State (58,000 students, 40,000 visitors, paid guides, public) is also experiencing the FULL situation.

"FULL" means for us room capacity plus overbook. Our visit space holds 150 people. Our office did an assessment for us and shared what our average no show rates were for different months and days of the week. There's a difference between a July Saturday show rate and March Monday show rate. We started this overbook process this summer.

For example, if our room capacity is 150 and based on data assessment, we know that we will average 12 no shows for a certain day- we will internally know our capacity is 162. We still have the public capacity at 150 and when it fills, it disappears off the public calendar. If people then call with the beg and plead, our office can control if we can add them in or not. We have more leeway with a family coming from 15 hours away than a family 15 minutes down the road. We still have an average of 20-30 people not show during July so far.

As for walk-ins on a full day, we explain that first priority goes to registered families and they have to wait. If we have space when we start the presentation, we will let them in. If we cannot, we provide them with an admissions folder and self-guided tour materials.

Hey CIVSA Land!  Tours here at the U have been really busy lately, we've been maxing out, and I am sure many of you know how difficult it is to find summer coverage.  That being said...

I am curious to know what the word "FULL" means to you...

What does full really mean to your tours?  When a tour reaches its capacity, how rigid are you regarding the fact that it's full?  Do you take it as the absolute word that, your tours are full, and you simply cannot add any more?  Or do you bend and flex for those of you who beg and plead?  What about walk-ins on tours that are full?  How do you determine your capacities?

It also would help if you can include how big your school is, who gives your tours (volunteers or paid), and public or private.

Asking for a friend... haha
