We actually started making phone calls (our student workers) the afternoon before to our visits. This has drastically lowered our no-show rate.

Hi Edwin, Tarrick, and other CIVSA folks!

The University of Kentucky Visitor Center sends the following items to students/families after a tour is scheduled:

-       Upon registering: Confirmation email with parking directions, etc.

-       14 days prior: Mailed letter with visit details well as details about Lexington, KY?s Visitors Center should they want to explore town while they are here. The mailed letter includes a printed parking/information document (attached).

-       4 days prior: Reminder email four days prior to the tour with parking directions and instructions to reply to the email to cancel the tour

-       1 day before: Confirmation call by VC student staff to make sure they are still coming, remind them to dress for the weather, and encourage them to arrive a few minutes early.

We also send automated emails in the event a student cancels ahead of time, does not show up, or does attend the tour. Every student visitor also receives a personalized, hand-written postcard by mail after the tour.

If anyone needs copies of the email templates for any of these or has some other suggestions, please let me know directly at taylor.blair at uky.edu<mailto:taylor.blair at uky.edu>. I?d love to know how others help reduce no-shows and stay connected with students.
