[civsa] Check-In for large events

Hello! I am wondering if any of you have experience checking in large numbers of guests for events? Our Open Houses bring in about 3,000 people, approximately 1,000 of whom are prospective students.

We have 2 group sessions at the beginning of the day where we can ideally check everyone in, but we need to move them through the lobby of the theater very quickly, so don’t have time to have them line up and wait to be checked off a list. We’ve tried using scanners but weren’t able to capture everybody and there were technical difficulties with the upload of data.

We’re considering assigning every student who RSVPs a 4-digit number so they can just give a staff member their number when they show up and we can take that down, or look them up based on their number (instead of having them spell out their name or email address). Does anybody have experience with that process? Do you have a quick solution for capturing information from walk-ins?
