We hold tours rain, snow or shine and yes, our ambassadors know to move quickly from one building to another and then to speak so they are not waiting outside in the weather.  Our ambassadors are also reminded to not walk through areas of the streets where we may have street flooding/icing and again the vast majority of families have been very understanding and flexible.  We have had a few tours delayed as they have waited for heavy downpours and we always ask if visitors have umbrellas or if they would prefer to use one of ours.  We offer umbrellas and ponchos to all visitors even if it looks cloudy and similarly we bought non-branded ponchos at a bulk price that have lasted for about 5 years now!  Small branded umbrellas were also bought in bulk and we split the cost with our Marketing department, again about 5 years ago.  We are looking to replace for the upcoming year but intend to order again in bulk.  We also remind our visitors for umbrellas to be returned by offering to dry them out in our storage room so that we only lose 1 or 2 a year (we lose more by our own staff using the umbrellas and not returning them!).


When we send confirmation and reminder emails they all include inclement weather messaging so that they have a way to contact us if they are unsure if we will be hosting the tour/event.  I cannot remember a time when we've cancelled a daily tour due to weather besides when the entire University closes.  Honestly most of the time the families are proactive and they tend to call us to re-schedule before the event in case of weather or even threat of weather.  We have not had issues with people complaining about the tours as we try to manage the expectation before they leave detailing they will be on a walking tour of the campus and will need to be outside at various points; we have had families who have chosen to forego the tour and just participate in the information session but this has been the exception.

Being a school in Southwest Florida we have a lot of afternoon storms this time of year.  Currently, our policy is that tours go out rain or shine.

We do have an exception that if it is thundering and lightning out that we will first, attempt to borrow a campus van and make our best attempt at the tour.  This is awkward to visitors and the tour guide as so many places on campus aren't accessible by car or visible.  I have only had to actually cancel a few tours throughout the year.  That being said, there have also been several tours that have had to "camp out" in various spots while a storm passes.



We do provide ponchos for guests when it's raining.  Almost everyone still wants to tour in the rain so the ponchos work out.  They aren't branded so we order them in bulk pretty cheap.  We have also purchased umbrellas to be used during tours but ask guests to return them post tour.



I am interested in what others do and if/when you cancel tours due to weather.  Also, what your follow up is if you do cancel or if a tour group isn't able to truly get the full tour due to weather.
