[civsa] VIP Visits: How to register students

Hi, Nikita,



UW doesn't use the CRM for VIP visits.  I receive referrals and requests from various partners around campus and tailor a visit to the needs of the party, which is labor intensive. Hence, UW doesn't handle a high volume of VIP tours, 2 - 3 per month.

We hosted 41 VIP visitors in October, 38 in November, and 11 this month. This is in addition to Information Sessions we host with different colleges and two daily campus tours.

I don't have much to add here but I am interested in what other schools are doing.



Currently, there is not a process for VIP visits.  They usually come from the Top (Directors, Deans & VIPS) and the agenda for the day will vary from student to student.  We do not receive a ton of these requests (maybe 2-3 per month) so there hasn't been a need to track them.

Good morning everyone,



I'm working on mainstreaming our VIP visit sign up, and I wanted to see if other schools had a different way that you have students register for a specialized visit than how they sign up for regular tours. Right now we have all daily visitors sign up through our CRM, and all organized group tours fill out a request through our website.



For us, a VIP visit consists of a carefully planned completely individual visit which can be very in depth. The student could take a campus tour, meet with the honors college, have lunch, meet with various different schools and majors, and sit in on a class or lab. Please let me know if you have a way that you mainstream your VIP visits instead of having a total free for all on options.



Right now we have one person, (myself), coordinating VIP visits from surveys that students fill out about what they are interested in doing on their visit. They login to our CRM and fill out the survey. It comes straight to me and I plan their visit from there. Do you have students sign up online or by phone? We are considering using an online calendar method and I am trying to gather information from other schools as a comparison. With only one person having contact with these students it can be very difficult to keep track of everyone and respond in a timely manner.
