Hi All,

I'm answering the signage question and the group question.

We ordered signs and had them installed and put a Special Guest Parking sign up to direct them to the designated area.  We just started doing individual welcome signs for our weekday campus tour visitors.  We print out the name tags every day and slide them in the slots the morning of the visit.  We have a video that is embedded in their reminder emails that shows them how to get to our Special Guest parking and gives them instructions should they be coming at a time where their name might not be on the sign.  They really do like the special guest treatment so far!

As for groups:

We accommodate practically everyone - elementary up to retired groups of alumni!  Generally, though, our groups are high school groups first, then middle school.  We can't accommodate more than 50 at a time due to our presentation space.  We are located just off the main campus so we use THEIR bus to get to the main campus.  IF a group comes in private cars we run into a little bit of an issue.  If the group is small, we can use our regular campus shuttle.  If not, we would have them park on the main campus ($3 per car) and meet them at a central location.

The tours are worked around our regularly scheduled weekday campus tour and we don't take anyone after 4:00 p.m.  We will take them earlier than 8:00 a.m. but they usually give the tour guide some incentive ($) for showing up around regular hours.

For the public schools, they bring one chaperone per ten students.  We don't have a chaperone requirement.

If the group wants to eat lunch on campus, they make their own arrangements with our dining services folks.  I'm only the middle man there and then, only to give contact info.

We do 30 minutes in the front with a Welcome, Admissions Presentation, Tour Guide Intro, and Video.  The tour takes an hour and a half once they leave our building.

We have had a similar explosion of group tours!  We have implemented some limits to help keep the volume from impacting our ability to serve individual prospective students:

For instance, we recently had requests from a high school wanting to bring 150 students to campus for a tour & info session followed by a diversity panel (current students) and we had requests from elementary schools wanting to bring 55 students for a tour and session about the importance of academics and we had a request from alumni classmates who want an historical tour of campus and we've had church youth groups who want us to tell them about Valpo while giving a campus tour followed by attendance at the chapel service.

I was wondering if anyone would be willing to share pictures of your personalized visitor parking signs.  I was also curious if anyone is using digital signage to personalize visitor parking with the prospective student's name/hometown.

Hi all!  Can you provide us some feedback, please, on how you accommodate organized groups that want to visit your campus?  Our requests for high school and other group visits have exploded in the past two years and we're trying to determine what other schools are doing and how we should modify our own programs, if at all.


What audiences do you accommodate? (elementary, or middle, or high schools, or all three; alumni; church youth groups; community groups?)  For instance, we recently had requests from a high school wanting to bring 150 students to campus for a tour & info session followed by a diversity panel (current students) and we had requests from elementary schools wanting to bring 55 students for a tour and session about the importance of academics and we had a request from alumni classmates who want an historical tour of campus and we've had church youth groups who want us to tell them about Valpo while giving a campus tour followed by attendance at the chapel service.

We've developed a webpage for elementary and middle school groups with helpful tips and phone numbers to call and create their own visit.*

Do you limit these tours to specific days? (if yes, which days)* Tuesday and Thursday (w/ enough notice we'll schedule another day, but we will only do 2 group visits per week)*

Do you limit these tours to specific hours of the day? (which times) *9:30am and 1:30pm*

Do you limit the number of people per group tour? (e.g. 50 students per group that visits) *40-50 students*

Do you require a certain number of chaperones for the groups of students? *
Yes*
If yes, what is the ratio per student? *1:10*

Do you feed your groups on campus/pay for the meals through your own budget or do you tell them to bring a sack lunch? *No. We will put them in touch with dining services to arrange and pay for their own lunch. If they request a room to eat in (they bring their own lunch) we will arrange and pay for the room.*

Outside of the tour and potential lunch, what else do you provide for a group visit? *An Admissions Info Session is standard.  Additional requests we've accommodated are housing tours, rec center tours, panel and meeting with specific student services.*
