Andrew!!  So nice to hear from you, thank you for all of this info.  It is very helpful.  We always have a challenge finding space to accommodate us, but it has been getting harder.  We had some of our larger spaces come offline for renovations.  Last week we saw 5,800 visitors and we only "closed out" our info sessions and tours on Presidents' Day, but knowing how others handle high volume days helps to guide us with what we might do going forward.  You mentioned finding space across campus.  Do you ever alter where families check-in for a visit if the location for the program is farther from your office?  Do you like Hobsons?  We have been looking at vendors and we are looking closely at Hobsons and ADX.

Meredyth, I concur about being thankful for the return of the list serve in the present form!  To answer your questions:


1)      Do you ever stop taking reservations for any of your prospective student visit programs because they have reached the capacity you can accommodate?

Yes, although this rarely happens since we work so hard to find alternative space across campus (we accommodated almost 50,000 visitors last year)

2)      If yes, do you post something on your website?

We use Hobsons for our event sign up software and so it just states that the tour is full.  When we used to use Fire Engine Red it removed the date completely but Hobsons does not have that capacity unfortunately which means people just see that the tour is full.

3)      Are you firm with callers that you can't accommodate any more visitors?

Yes we are.  We offer them a self-guided tour map option but once we hit our cap we simply can't accommodate any more visitors or else our group sizes swell.  We have 120 Ambassadors though so we typically can handle large volumes.  Last year during spring break we accommodated about 8,000 visitors in two weeks.  Our two biggest needs are info session space and tour guides.

4)      Do you publish your dates for admitted student programs anywhere and/or do you share the dates over the phone with curious applicants before decisions are released?

No we do not publish our dates for admitted student programs at any point either before or after decision release.  We offer 5 admitted student days and come close to filling them all, which means we need some control over who is coming to these.  We invite them electronically to register for our event through the portal they create when they apply electronically to us and then we e-mail them, call them and mail them a hard-copy invitation.
